Overview of the Editorial Ecosystem

The Physiopedia editorial team operates as a distributed, collaborative network of professionals working together to maintain and improve content quality. Our structure balances autonomy with coordination, allowing volunteers to contribute according to their availability while ensuring consistent standards across the platform.

The team consists of several interconnected groups, each with specific responsibilities but all working toward our common goal of providing excellent rehabilitation education resources. This structure has evolved over years to optimise both efficiency and quality while respecting the volunteer nature of contributions. All those who form part of our core editorial roles will have gone through our Physiopedia Editorial Onboarding Programme.

Core Editorial Roles

Content Editors form the backbone of our editorial team. These are qualified physiotherapists and rehabilitation professionals who have sufficient skills/ knowledge to support us with regularly reviewing, updating, and creating high-quality content within their areas of expertise. Content editors work independently on chosen pages while participating in team initiatives and monthly topic focuses. They receive ongoing support and have access to all editorial resources and training materials.

Lead Reviewers are experienced editors who have demonstrated exceptional commitment, knowledge and quality in their work. They mentor new editors, sharing their expertise on editing, perform quality checks on submitted reviews, help coordinate topic-specific initiatives and lead by example. Lead reviewers often specialise in particular content areas while maintaining broader editorial responsibilities.

Subject Matter Experts bring highly specialised knowledge to specific clinical areas. These team members are recognised authorities in particular fields such as orthopaedics, neurology, paediatrics, or specialised treatment techniques. They provide expert review for complex topics, guide content development in their specialty areas, and serve as consultants when questions arise about specialised content.

Content Manager coordinates the overall editorial operation. This role involves allocating content for review, supporting team members with resources and guidance, monitoring quality metrics, facilitating communication among team members, and developing new initiatives to improve content quality and team effectiveness.

Quality Assurance Manager focuses on maintaining consistency and standards across all content. They perform systematic reviews of published content, develop and update quality guidelines, analyse metrics and user feedback, and implement process improvements based on data and team input.

Qualification Requirements

Essential Qualifications

All editorial team members must meet fundamental requirements that ensure the quality and credibility of Physiopedia content:

Professional Credentials: Team members must hold relevant professional qualifications in physiotherapy or rehabilitation fields such as occupational therapy, speech therapy, or related disciplines. These qualifications must be recognised in your country of practice and current with any required continuing education or registration requirements.

Clinical Experience: While specific requirements vary by role, all editors should have practical clinical experience that informs their editorial work. This ensures that content reflects real-world application and not just theoretical knowledge. For most roles, we recommend at least two years of clinical practice, though exceptional candidates with strong academic backgrounds may be considered.

Evidence-Based Practice Skills: Editors must demonstrate competency in finding, evaluating, and applying research evidence. This includes familiarity with database searching, critical appraisal of research quality, and the ability to synthesise evidence into practical recommendations.

Communication Skills: Strong written communication skills in English are essential, as all Physiopedia content is primarily published in English. This includes the ability to write clearly for an international audience, explain complex concepts simply, and maintain a professional yet accessible tone.

Role-Specific Requirements

For Content Editors: Beyond the essential qualifications, content editors should demonstrate commitment with monthly contributions (minimum 4-6 hours monthly), willingness to learn wiki editing skills, and ability to work independently while following our quality guidelines.

For Lead Reviewers: These positions require at least one year of successful content editing on Physiopedia, demonstrated excellence in content quality and consistency, strong mentoring and communication skills, and availability for additional co-ordination responsibilities.

For Subject Matter Experts: Advanced qualifications or specialisation in specific areas, recognised expertise through publications, presentations, or clinical leadership, and ability to provide authoritative guidance on complex topics are expected. Subject matter experts should also demonstrate commitment to regular contribution (minimum 4-6 hours monthly).

We ask all editors to follow our 4C’s as part of editorial responsibilities, which contributes towards our values and vision:

  • Connection - Keep connected to our global team through our team meetings and communication channels.
  • Completion - Conduct full page reviews focussing on our quality standards and/or create new high-quality content.
  • Collaboration - Facilitate in the development of others through constructive feedback and sharing of expertise.
  • Curation - Provide quality review checks to our pages to help us prioritise editing our pages, to remain up-to-date.

Desirable Attributes

While not required, these attributes enhance team contributions: experience with online education or content creation, familiarity with MediaWiki or similar platforms, multicultural experience for global perspective, academic teaching or research experience, and active engagement in professional development.

Training and Onboarding Process

Physiopedia Editor Onboarding Programme

New team members complete our Physiopedia Editor Onboarding Programme designed to ensure success and high-quality from the first contribution, which follows five key stages:

Stage 1: Following application, new members complete a pre-screen quality task to check for suitability for the role.

Stage 2: If successful, the onboarding training is then completed over a period of a month, whilst having access to support from the Physiopedia quality team. This training includes completing 10 sections and 10 tasks.

Stage 3: Once training is completed, new members attend an editor check-in call run by our quality team covering Q&As, feedback and discussions on the role. Once attended, new members will have graduated from Physiopedia Editor Onboarding Training Programme and gain a CPD certificate for the completed training.

Stage 4: Following graduation, new members will fully integrate into the Physiopedia team and their role, and will be assigned a buddy and receive directed support. They will also be eligible for our points programme, earning rewards.

Stage 5: After three months at Physiopedia, new members will have an appraisal, which is an opportunity to receive and provide feedback and will continue with with their editor role, with quality as the centre focus.

Ongoing Training and Development

Learning continues throughout your time with the editorial team:

Regular Training Sessions: Bi-monthly team meetings covering team updates, progress, specific advanced editing training, evidence-based practice updates, and specialty-specific topics. These sessions are recorded for asynchronous viewing.

Skill Development Pathways: Editors can pursue specialised training in areas such as systematic review methodology, advanced wiki coding, multimedia content creation, or educational design principles.

Peer Learning Opportunities: The team fosters collaborative learning through case discussions of challenging content, peer review exchanges, best practice sharing sessions, and collaborative projects.

External Development: Support for attending relevant conferences, access to selected online courses, and encouragement for professional development that benefits both individual growth and Physiopedia quality.

How to Join the Team

Application Process

Joining the Physiopedia editorial team is straightforward and welcoming:

Step 1: Initial Expression of Interest Complete our online application form providing your professional background, areas of expertise, and motivation for joining. Applications are reviewed on a regular basis.

Step 2: Credential Verification Submit proof of professional qualifications and current registration/license where applicable. Provide a brief professional CV or LinkedIn profile. International qualifications are welcome with appropriate documentation.

Step 3: Skills Assessment Complete a brief practical assessment involving reviewing a sample page section, showing your understanding of quality. This assessment is supportive, not exclusionary, we provide guidance throughout.

Step 4: Complete Training Complete the Physiopedia Editor Onboarding Training Programme over a period of a month to develop your editorial skills and training you to be able to meet our quality standards, as well as clarify expectations and commitments of the role.

Step 5: Welcome to the Team Upon successful completion and acceptance, you will become a full Physiopedia team member, gaining access to team resources and communication channels.

Time Commitment Expectations

We respect that our volunteers have primary professional and personal commitments. Our flexible approach accommodates various availability levels:

Minimum Commitment: Most roles require 4-6 hours monthly, which can be distributed according to your schedule. This might involve reviewing one comprehensive page or several shorter ones.

Typical Participation: Many team members contribute 6-10 hours monthly, allowing for deeper engagement with content and team activities.

Flexible Scheduling: Contribute when it suits your schedule, take breaks when needed without penalty, increase or decrease involvement based on life circumstances.

Certified Content Editor: Awarded after successfully completing onboarding, reviewing 10 pages to standard, and participating for 6 months. This certification demonstrates competency in evidence-based content review.

Advanced Editor Certification: Achieved through reviewing 50+ pages with consistent quality, mentoring new editors, contributing to process improvement, and demonstrating subject matter expertise.

Editorial Excellence Award: Our highest recognition for sustained exceptional contribution, innovation in content development, leadership within the team, and significant impact on platform quality.
